This is limited only by available disk space on
your server. With today’s low cost disk drives,
you can easily store 2 or 3 years of documents. To
put numbers to it, you can store about 200,000
documents on a 9GB hard drive. So if you post 100
EOB pages per day, and scan 50 insurance cards per
day, you could store about 66 months of documents
on 9 GB. You can see that you can store a
tremendous number of documents on a relatively
small disk drive.
Regardless of available disk space, at some
point you will want to purge some of the documents
from the system. At that time, you can either
delete them or move them to another server, tape,
or CD ROM storage.
Anyone that posts payments needs a scanner so
they can scan EOBs. If you are also using Patient
Profile+, you may have scanners spread throughout
your practice to capture various clinical
documents. In addition, anyone strictly doing
lookups needs only a PC. See the system
requirements for additional specifications.
EOB Express usually doesn't reside on the same
system as your billing system. It must be loaded
on a Novell, Windows NT4, or Windows 2000 server.
However, the server can be used for other things
such as email or file and printer sharing.
EOB Express does not ‘interface’ with your
billing system in the traditional sense where it
exchanges data directly with your data files. It
simply reads information from some of your screens
in order to obtain the account name and number.
This approach ensures that we can never
manipulate, damage, or delete any information in
your billing system.
It will work with most systems, however there
are a few exceptions. If your system happens to be
one we haven't tested, we can do a simple test to
see if your billing system is compatible.
Yes, a number of our clients scan other items
besides EOBs and insurance cards. You can set up
the system to scan consent forms, end of month
reports, self-pay checks, Medicare reviews, charge
tickets, etc. Call our sales department for more
information on how to do this.
No. Patient Profile+ will work by itself or
with EOB Express. Patient Profile+ provides a very
effective way of organizing clinical documents
using categories and document types or alternately
it can emulate a paper chart with tabs.
You set these up, according to the needs of
your practice. The number of categories and types
are limited only by your imagination. For example,
you may have a category called Radiology. The
document types under this category might be
Mammogram, Ultrasounds, X-rays, CT, MRI, and
Sleep Study. You might set up another category
called Hospital Notes. Under that category you
might set up document types of H&P, Discharge
Summary, Consultation Reports, and ER Records.
Once these are set up, the various clinical
documents are scanned and assigned to one (or
more) of these categories and document types.
Again, they are sorted by date, which in this case
usually is the test or report date. Then it is a
simple matter to lookup the latest tests and
reports for a patient. You could also easily look
up all CTs for a patient if you were just looking
for this type of test
What is meant by different types of
transcription?
You can set up different types of transcription
from which to choose when creating a new document.
For example, a type called 'Dictation' could be
set up to provide the continuous patient record of
office visit notes. Another type could be set up
called 'Letters'. Letters would be used for any
correspondence to the patient. It then becomes a
simple matter to look up the patient in EOB
Express and see the various transcribed documents
for the patient with associated 'Last Edit Date'.
Yes you can. In fact, that is one of the great
features of our transcription module. It allows
you to do this and still have a continuous patient
record of office notes. No more cutting and
pasting; or worse yet, multiple files for the same
patient. Documents created off line are placed
into a queue and automatically merged into the
correct patient document.
